Job Description

Job Title: Executive Assistant (to CEO)

Job Classification:  Fulltime

FLSA Status:  Exempt

Job Reports To: Chief Executive Officer/Executive Director

POSITION PURPOSE

Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant is responsible for providing comprehensive support to the CEO, Board of Directors, and under the direction of the CEO the Directors Team.  They will serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the office of the CEO. The Executive Assistant will also serve as a liaison to the Board of Directors; organizing and disseminating Board materials and coordinating executive outreach.  This position alsomanages and coordinates special projects. It is a trusted role with significant responsibility in carrying out the daily work, priorities, and the smooth operations of the CEO’s office and Board of Director relations.  

RESPONSIBILITIES

Executive Support

  • Complete a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence that may be confidential; completing expense and mileage reports; arranging travel plans when necessary; and compiling documents for the CEO’s meetings.
  • Coordinate and ensure the CEO’s schedule is followed and respected. Acts as the“gatekeeper” and “gateway” forallowing direct access to the CEO’s time and office.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. 
  • Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the CEO’s style and the organization’s policies.
  • Work with the Directors Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Anticipate CEO’s needs in advance of meetings, conferences, etc. 
  • Replenish CEO office materials such as snacks, printer supplies, paper, office supplies, etc. 
  • Process, prioritize, and distribute the CEO’s daily mail. 

Board of Director Support

  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters. 
  • Maintains discretion and confidentiality in relationships with all Board members, partners, employees, contractors, and external consultants. 
  • With the Development and Communications department, maintain Board of Directors and Directors Team information on Goodman’s website.

Special Projects

  • Work with the Directors Team, Staff, Board and Board committees in coordinating the CEO’s outreach activities.
  • Create presentation materials and other collateral as necessaryas requested by the CEO inconsultation Development and Communications department as needed.
  • Work on projects as assigned by the CEO and the Board of Directors.

QUALIFICATIONS

  • Bachelor’s degree and/or equivalent relevant experience required.
  • A minimum of 2 years of experience in executive level support, board relations, project management and/or events coordination required.
  • Excellent verbal and written communication skills and judgement with the ability to maintain privacy and confidentiality.
  • Strong interpersonal skills- demonstrated ability to build relationships.
  • Exceptional skills in the areas or organization, attention to detail, and time management.
  • Demonstrated ability to manage multiple projects, define and set priorities and problem solve.
  • Strong computer skills. Intermediate to Advance with the Microsoft Office Suite.  Experience with SharePoint and/or other document management solutions are required.
  • Demonstrated team player with strong collaboration abilities.
  • Ability to take initiative with projects to work independently.

SPECIAL POSITION REQUIREMENTS

  • Valid driver’s license and clean driving record required.
  • Willingness to drive personal and/or GCC vehicles for work purposes as necessary is required.
  • Flexibility in schedule, including availability during and outside of regular working hours is required.

PHYSICAL REQUIREMENTS

  • Ability to pushing and/or liftto perform the responsibilities of the position referenced above.
  • Ability to twistand/or bend to perform the responsibilities of the position referenced above.
  • Ability to perform sedentary work- sitting for extended periods of timeto perform the job responsibilities above. 
  • Frequent use of office equipment- computer, phone, data entry, and etc. 

  

PREFERENCES

  • Prior experience providing executive level support.
  • Prior board relations experience.
  • Experience working in diverse, equitable, and inclusive work environments.
